Cancellation Policy

At Awara Banjara (OPC) Private Limited, we curate premium, high-energy Himalayan experiences with strictly limited slots to maintain elite group dynamics and premium quality management. When you book a slot with us, that seat is exclusively reserved for you, and we immediately initiate ground bookings (transport, stays, and permits) in the mountains.
Therefore, we follow a strict and transparent Cancellation and Refund Policy as detailed below:

1. The 10% Booking Token Policy

  • Strictly Non-Refundable: The mandatory 10% token amount paid at the time of reservation is completely non-refundable and non-transferable under any circumstances.
  • Why this rule exists: This token ensures your slot in our exclusive 18-35 tribe and covers the immediate administrative and booking costs required to secure logistics in high-altitude regions like Spiti, Ladakh, and Kashmir.
  • No Exceptions: This non-refundable policy applies to all cancellations, including personal emergencies, medical issues, sudden flight/train delays, or professional scheduling conflicts.

2. Balance Payment & No-Show Regulations

  • Payment Due Upon Arrival: As per our terms, the remaining 90% balance of the tour package fee must be cleared immediately upon your arrival at the designated starting base/hub (e.g., Manali) before the trip flags off.
  • Failure to Pay: If a participant arrives but fails or refuses to clear the remaining balance before departure, their booking will be canceled on the spot, and the 10% token amount will be forfeited.
  • No-Show Policy: If a participant fails to reach the starting point/hub on the designated departure date and time without prior written notice, it will be treated as a “No-Show.” In this case, the booking will be canceled automatically, and no refunds or trip transfers will be issued.

3. Replacement & Slot Transfer Policy

  • Transfer to a Friend: If you are unable to travel due to unforeseen circumstances, you may request to transfer your booked slot to a friend or family member who meets our 18-35 age criteria, provided the request is made at least 7 days prior to the departure date.
  • Permit Fees: While the 10% token can be adjusted for your replacement, any non-refundable expenses already incurred on your name (such as inner line permits, wildlife fees, or personalized flight/train bookings) must be paid fresh by the new participant.

4. Cancellations by Awara Banjara

  • Operational Cancellations: In rare cases, if a trip is canceled by Awara Banjara prior to departure due to low group participation (minimum bookings not met) or severe weather warnings, participants will be offered two choices:
    a. A 100% full refund of the 10% token amount paid.
    b. An option to transfer the token to any of our upcoming available departures within the next 12 months.
  • Please note: Awara Banjara is only liable for the amount paid to us and is not responsible for any personal travel bookings (like flights or train tickets) made by the participant.

5. Mid-Trip Voluntary Departures

  • Unutilized Services: If a participant chooses to leave the tour, road trip, or trek voluntarily at any point after the journey has commenced, no refunds, partial adjustments, or compensations will be provided for any unutilized portion of the itinerary, accommodation, transport, or meals.
  • Expulsion Costs: In the event that a participant is expelled from the trip due to a breach of our Code of Conduct (such as rowdy behavior, harassment, or illegal substance abuse), no refund will be issued, and any return logistics costs will be entirely borne by the individual.

6. Force Majeure & Mountain Disruption Policy

  • Act of God Events: Traveling in the Himalayas involves unpredictable terrains. If a trip cannot be executed, is cut short, or is dynamically rerouted due to natural calamities, landslides, heavy snowfall, roadblocks, cloudbursts, political strikes, or sudden government restrictions, Awara Banjara (OPC) Private Limited shall not be liable to offer cash refunds.
  • Alternative Support: In such unavoidable circumstances, our priority is always the safety of our tribe. Any additional expenses incurred on the ground due to extended stays, emergency evacuations, or altered transport routes will be borne directly by the participants.

7. How to Request a Cancellation

  • If you wish to cancel your reservation before the trip starts, you must notify us officially via your registered email address or contact our booking team directly. Verbal cancellations or social media messages will not be considered valid.
